How to setup the Intune Asset Management Integration with BlueTally

BlueTally lets you save time and headaches by automatically adding devices from Intune into the app as assets. Setup your integration in only 18 steps:

Login to your Azure account.

1
Search for "App registrations"
2
Click on "New registrations"
3
Give the app a name (like BlueTally Intune), select the first Supported account type and click Register
4
Click on "API permissions" in the left menu bar
5
Click on "Add a permission" and then "Microsoft Graph"
6
Click on "Application permissions"
7
Search "DeviceManagementManagedDevices" (case sensitive), and then tick the DeviceManagementManagedDevices.ReadAll option and click "Add permissions"
8
Do the same for "Device.read.all" (case sensitive)
9
Do the same for "Directory.Read.All" (case sensitive)
10
Click on the dots all the way on the right side of the User.Read permission, then click on "Remove permission"
11
Click on "Grant admin consent for Default Directory" and "Yes" in the confirmation
12
Click on "Certificates & secrets" in the left menu bar
13
Click on "New client secret", give it a name (like BlueTally Key), set the expiration to "24 months" and click "Add"
14
Copy the "Value" and note it down for later
15
Click on Overview in the left menu bar
16
Copy the "Application (client) ID" and note it down for later
17
Click on "Endpoints" and then copy the "OAuth 2.0 token endpoint (v2)" and note it down for later
18
Open the Settings in your BlueTally account and paste in the values that you noted down earlier. Then, select what type of devices you'd like to get from Intune (Company, Personal or Both), which fields in Intune you'd like to map to the Asset ID and Asset Name in BlueTally, if you'd like to automatically checkout assets to the employee the device is assigned to in Intune and if you'd like to merge data from Intune with existing assets you've added to the app.

In order to automatically checkout the assets to employees, they have to already be added as an Employee in the app. We recommend setting up our Active Directory integration before clicking Enable.

If you enable the Merge option, assets added to BlueTally with the same "Asset ID" as the "Device Name" (or the field you set in "Map Asset ID to") of a device in Intune, will have the fields "Asset Name" and "Serial Number" overwritten in BlueTally. That way, you can keep the full history of assets you already added to BlueTally, while getting the most important details from Intune.

That's it! It will take around ~10 minutes for the first transfer to complete.

All new devices added to Intune will automatically be added as an Asset in BlueTally, and if automatic checkout has been enabled, they'll be automatically checked out to their assigned user in Intune as well. If the device wasn't assigned to anyone in Intune at the time of first sync, it will be automatically checked out once it's been assigned a user in Intune.

If an asset is already in the app with the same Asset ID as a device in Intune, it will be skipped (unless you enable the Merge option).

If you mapped the Asset ID in BlueTally to a field in Intune that is empty for a device (for example, mapping the Asset ID to the Device Name which can be blank), the device won't be added to BlueTally - as BlueTally requires the Asset ID field to have a unique value.

How you can use Intune for asset management with BlueTally

With BlueTally's user-friendly interface and robust features, you can make the most of the app's integration with Intune for more efficient IT asset management

Automated device addition

Intune integration allows for the automatic asset registry and addition of devices from Intune directly into BlueTally as assets. When this feature is enabled, any device managed through Microsoft Intune is automatically added into BlueTally's system as an asset. The integration between Intune and BlueTally is set up such that when a new device is registered in Intune, it is also created as an asset in BlueTally, without the need for manual entry.

This feature reduces manual data entry and minimizes the risk of errors. It ensures that all devices managed through Intune are automatically recorded in BlueTally, which helps with data accuracy and saves significant time and effort in asset tracking.

Automatic checkout

BlueTally can automatically check out assets in the app to the current device owner in Intune. This function automatically assigns assets in BlueTally to the respective employee as per their assignment in Intune. When a device is added to Intune and linked to an employee, the same information is reflected in BlueTally. The asset is automatically 'checked out' to that employee in BlueTally, indicating who currently holds or is responsible for the asset.

Automating the checkout process to the current device owner in Intune streamlines asset allocation and tracking. It facilitates better accountability and oversight of assets by ensuring that each item in your asset register is automatically assigned to the right employee in the system.

Department import from Azure AD and Okta

The improved SCIM integration for Azure AD and Okta allows for the automatic importation of an employee's department into BlueTally. Through SCIM integration for Azure AD and Okta, BlueTally is able to import departmental information for your employees. This means when an employee is added or updated in Azure AD or Okta, their department information is also updated in BlueTally.

This integration ensures that employee department information is automatically and accurately reflected in the asset management system, enhancing the categorization of assets based on departmental needs and usage.

Merge option for existing assets

The 'Merge' option allows BlueTally to overwrite the fields 'Asset Name' and 'Serial Number' in BlueTally with the corresponding Intune details if the Asset ID in BlueTally matches the 'Device Name' (or the field you set in Intune).

This feature helps avoid data duplication and ensures that existing assets in BlueTally are kept up-to-date with the latest information, maintaining a single, accurate record for each asset.

Integration with existing workflows

BlueTally's powerful API allows for easy integration into your company’s existing workflows. Additionally, you can set up Single Sign-On (SSO) with Azure AD and receive notifications directly to Microsoft Teams and Slack.

The integration of BlueTally with existing workflows and well-known collaboration platforms like Microsoft Teams, Slack, and Azure AD enhances the overall efficiency and communication within your company. It ensures that asset management is not a standalone process but a well-integrated part of the broader organizational ecosystem, facilitating smoother operations and quicker response times.

Customizable integration settings

With BlueTally, you can customize various integration settings for Intune. You can select the type of devices (company, personal, or both) to import from Intune. You can also define how fields in Intune map to Asset ID and Asset Name in BlueTally, and whether to automatically checkout assets to employees.

This ensures that the asset management system aligns with your unique operational needs, such as differentiating between company and personal devices.
